POSITION: OFFICE ADMINISTRATOR AND EXECUTIVE ASSISTANT TO THE NSA PRESIDENT/CEO

Position Summary:
The preferable candidate will be reporting directly to the Netball South Africa President and CEO and be the Executive Assistant to the President/CEO. As the Executive Assistant the successful candidate will provide executive, administrative, and development support to the President and serve as the primary point of contact for internal and external constituencies on all matters pertaining to the President. The Executive Assistant serves as a liaison to the Executive Committee who will be responsible to organise and coordinates executive outreach and external relations efforts; to oversees special projects and reporting details of all plans to both the NSA President and CEO vice versa.

Essential/Primary Responsibilities:
Executive Support

  1. Assists the President/CEO with daily administrative duties , completing a broad variety of administrative tasks, inclusive of managing an active calendar of appointments; providing the costing for these appointments; composing and preparing correspondence; arranging complex and detailed travel plans, itineraries and agendas and compiling documents for meetings.
  1. Communicating with the general staff on behalf of the President/CEO’s and coordinating logistics for high-level meetings both internally and externally.
  2. Coordinating of strategic activities.
  1. Communicating directly and on behalf of the President/CEO with Executive Members,  and others on matters related to programmatic initiatives as directed by the President /CEO and EXCO in accordance with their needs
  2. Providing full support President/CEO in his/her external commitments including service on external boards, committees and other groups.
  3. Assists in coordinating the agenda of senior management team meetings.
  4. Preparation of an account of the meetings and designates and follows up on assigned action items.

Secondary Responsibilities:

  • Performs other duties as assigned by the President/ CEO from time to time.
  • Working closely and liaison with DSAC EPG department;
  • Monitoring Districts and Provinces on transformation scorecards;
  • Keeping District and Provincial coordinators informed of the transformation rules and regulation and constantly try to improve and empower Netball.
  • Working closely with Director Demarcation and Structures on transformation and membership;
  • Assisting with compilation of annual report on the Transformation (EPG)

Accountabilities

  • Position reports to the President/CEO

Experience & Education:

  • A Diploma or Certificate in Administration or secretarial duties. Equivalent experience with social sciences background and an interest in national and global issues.
  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
  • Five to ten years’ experience in providing support for upper-level management in a related organization (i.e., population, social sciences, public health).

Skills & Abilities:

  • Strong interpersonal skills and the ability to build relationships with stakeholders, including staff, Executive members, external partners and donors.
  • Proficiency in Windows, including MS Word, Excel and PowerPoint;
  • Ability to learn new software and passion for keeping stats.
  • Ability to work independently and with professional discretion.
  • Excellent writing, editing, grammatical, organizational, and research skills.
  • Ability to work with a broad range of people including Board members, colleagues of the president/CEO and staff, Department Sport Arts and Culture and others.
  • Knowledge of other languages and international customs is an asset and advantageous;
  • Excellent management, time-management, and problem-solving skills.
  • Ability to meet strict deadlines.

Working Conditions/Other Data:

  • Due to the confidentiality of the work, the functions of this position should be performed in NSA’s Office;
  • Occasional travel may be involved.
